Brightspace Administrator Course Access Guidelines

Purpose

Define guidelines governing LMS administrative access to courses in the Learning Management System - Brightspace (LMS) used at IVCC. These guidelines ensure faculty ownership of instructional content, proper documentation of support activities, and a transparent framework for granting instructor-level permissions to anyone other than the instructor on record in Colleague.

Authorized Personnel

Personnel who have administrative rights in the LMS include:

  • Director of Learning Resources
  • CETLA staff responsible for supporting faculty using the LMS to administer their courses

Access Conditions

  • LMS administrators may not copy or modify course content without written consent of the faculty on record listed in Colleague.
  • If a faculty member is deceased or incapacitated to the extent that they cannot communicate, written permission is required from the Dean and/or the Vice President of Academic Affairs.
  • In cases of incapacitation, LMS administrators should not modify course content or structure.
  • LMS administrators may temporarily enter a course when contacted via email by the instructor. Access is limited to the scope necessary to help the instructor administer the course.

Communication and Documentation

Beginning Spring 2026, CETLA staff will ONLY enter courses in the LMS after the faculty member has requested assistance by sending an email to CETLA@ivcc.edu.

All requests submitted to CETLA@ivcc.edu are currently archived to document faculty LMS support requests that grant permission to view or open courses. 

Role Creation and Permissions

The following LMS roles provide instructor-level permissions to users other than the instructor of record:

  • Program Coordinator: Granted to staff who require access to set up courses within their program. Written requests must be sent to CETLA@IVCC.edu by the Program Coordinator and the Academic Dean.
  • Co-Instructor: Granted to another faculty member with written approval by the instructor on record. Written requests must be sent to CETLA@ivcc.edu.

Governance and Review

Guidelines will be updated annually or as needed based on feedback and policy changes.

Changes to guidelines must be reviewed by the Educational Excellence Committee (EEC).
